Trust and Privacy

In plain English. No fine print.

What we keep

We keep only what you give us:

  • • Your name and email, from when you sign in
  • • Your role, country and goals, from setup
  • • The people you log: names, organisations and what they need
  • • Your daily suggestions, and which ones you did
  • • Your questions to Sage and Sage's answers
  • • Your story and pitches from Story Forge
  • • The results you record after the conference

What we never do

We do not sell your data.

We do not give your list of contacts to anyone.

We do not use what you write to train AI models.

We do not track where you are.

Your data belongs to you.

Who can see your records

In the app, only you can see your records.

Your contacts, notes, meeting notes, story and Sage conversations show only in your own account. Other delegates cannot see them.

COP Ready is run by Benjamin Mitchell. As the person who runs it, he can reach the database to keep the app working and to fix problems. He does not read your records, and the app never sends him copies of them.

Each day he gets totals only: how many people signed up, finished setup, logged contacts or used AI. No names, organisations, notes or messages.

Your Google Calendar

You choose whether to connect your Google Calendar. It is used only for you, and you can disconnect it in Settings at any time.

We read your calendar to show your own meetings and send you your own reminders. Nobody else sees your calendar.

Follow-up email drafts appear in the app for you to copy or open in your own mail app. We do not connect to your mailbox and we never send an email for you. Meeting summaries download as a PDF.

When you disconnect your calendar, we stop using it straight away.

Where your data is kept

COP Ready is built on a platform called Base44. Base44 keeps your data on Amazon Web Services computers in the United States. We do not run our own servers.

How we use AI

AI can write your daily suggestions, Sage's answers, your meeting prep and meeting summaries, your Story Forge pitches, your follow-up email drafts and your report after the conference. Each of these is off until you turn it on. You can turn it on during setup or later in Settings.

When a feature is on, the details it needs are sent to Claude, an AI model made by the company Anthropic. It runs through Base44, our platform. This can include your profile, your story, your notes on people you met and your questions. Your name and email are not sent. Turn a feature off and it stops straight away.

AI answers are suggestions. They can be wrong. Always use your own judgement.

Every Sage answer shows this reminder: "This is based on what you've shared. Apply your own judgement."

Scores and suggestions

Some numbers in COP Ready are worked out from what you enter: your readiness score, your daily suggestions and your follow-up reminders. Simple rules work them out from your own records, with AI added only where you have turned it on.

They are suggestions to help you prepare. They are not decisions about you. A score never changes your access or your data, and you can ignore any of them. To find out how a score was worked out, email us and we will explain it.

Indigenous data

COP Ready follows the CARE Principles for Indigenous Data Governance: collective benefit, authority to control, responsibility and ethics.

Indigenous delegates and their communities control their own data. You decide what you enter, what you share and what you turn on. Where your community has its own rules about data, those rules come first.

We never use your data for research, publishing or AI training without your written permission.

Delete your account

This deletes your contacts, story, suggestions, Sage conversations, meeting notes and results. You cannot undo it. If your sign-in cannot be removed automatically, we remove it by hand.
